How to use the Time Card Calculator
- 1 Enter clock-in and clock-out times for each day you worked.
- 2 Enter any unpaid break in minutes.
- 3 Leave days you did not work blank.
- 4 Read daily hours, the weekly total, overtime and, with an hourly rate, your gross pay.
Worked example
Monday to Friday, 9:00 to 17:30 with a 30-minute break. Each day is 8 hours, so the week totals 40 hours with no overtime. Add a Saturday of 4 hours and the total is 44 hours: at $20 an hour, pay is 40 × $20 + 4 × $30 = $920.

Overnight shifts

Overtime pay
Hours over 40 in the week are paid at 1.5 times the hourly rate.

Frequently asked questions
How do I calculate hours worked?
Subtract the clock-in time from the clock-out time and take off unpaid breaks. 9:00 to 17:30 with a 30-minute break is 8 hours.
How do I convert minutes to decimal hours?
Divide minutes by 60. 7 hours 45 minutes is 7.75 hours.
Are breaks paid?
Under federal rules, short breaks of about 5 to 20 minutes are usually paid, while meal periods of 30 minutes or more can be unpaid if you are fully relieved of duty.
When is overtime due?
Non-exempt employees must get at least 1.5 times their regular rate for hours over 40 in a workweek under the FLSA. Some states also have daily overtime.
Must employers keep time records?
Yes. The Department of Labor requires employers to keep records of hours worked each day and each workweek for non-exempt employees.
How do I write 8 hours 30 minutes in decimals?
Divide the minutes by 60 and add them to the hours: 30 ÷ 60 = 0.5, so 8 hours 30 minutes is 8.5 hours. Most payroll systems use decimal hours.
Do I have to round time punches?
Employers may round to the nearest 5, 6 or 15 minutes if the rounding averages out fairly over time so employees are paid for all time actually worked.
Is time spent on call counted?
It depends. If you must stay on the premises or so close that you cannot use the time freely, it usually counts as hours worked under federal rules.
